The short version

  • We collect information to match accounting firms with qualified candidates in the Philippines, and to support the working relationship after a hire.
  • We share candidate details with firms hiring for suitable roles, and with our employer of record partner when a hire is employed through them.

  • Our team works from the US, Australia, New Zealand, Jamaica and the Philippines, so your information may be accessed from those countries.
  • You can ask to see, correct or delete your information at any time. Email privacy@hireteamup.com.

We may receive information about you from referees, police clearance and identity check providers, job boards, professional networks such as LinkedIn, the clients you work with, and our employer of record partner. We will tell you when we collect information this way, unless you already know about it.

  • Our employer of record partner, Sourcefit, when a hire is employed through our Success Partner service.

Before we send information to another country, we take reasonable steps to make sure it is protected to a similar standard, for example through contract terms with the recipient.

6. Cookies and tracking

You can accept or decline non-essential cookies in our cookie banner, and change your choice at any time through the "Cookie settings" link at the bottom of each page. You can also block cookies in your browser settings.

7. Marketing emails

We send news, guides and offers to clients, prospective clients and candidates who have agreed to receive them, or where the law otherwise allows. Every marketing email has an unsubscribe link. We may also record when you open an email or click a link, so we know what is useful.

8. How long we keep it

We keep information only as long as we need it:

  • Candidates not placed: 2 years after our last contact, so we can consider you for future roles. We'll check before then whether you want to stay in our talent pool. You can ask us to delete your information sooner.
  • Police clearance and identity check results: deleted within 6 months of the hiring decision. For people hired, we keep only a record that the check was completed.
  • Interview recordings: 12 months.
  • Placed employees: for the length of our service, then 2 years.
  • Clients and prospective clients: for the length of our relationship, then 3 years (2 years after last contact if you never became a client). Invoices and financial records are kept for 7 years for tax purposes.
  • Marketing: until you unsubscribe. We keep your email address on a do-not-contact list so we don't email you again.
  • Website analytics: 14 months.

When we no longer need information, we delete it or make it anonymous.

9. How we protect it

We limit access to the people who need it, use secure systems with two-step login, and require our service providers to protect your information. No system is completely secure. If a data breach is likely to cause you serious harm, we will tell you and the relevant regulator as the law requires.

10. AI and automated decisions

We may use AI tools to help us review applications and organise information. A person on our team always reviews candidates and makes recruitment decisions; we do not make decisions about you based only on automated processing. If this changes, we will update this policy first.

11. Your rights

Wherever you live, you can ask us to:

  • tell you what information we hold about you and give you a copy;
  • correct information that is wrong or out of date;
  • delete your information, or stop using it for a particular purpose;
  • stop sending you marketing; and
  • withdraw consent you have given (this doesn't affect what we did before).

Email privacy@hireteamup.com. We will respond within 30 days and won't charge you, unless a request is clearly excessive. We may need to confirm your identity first. Some laws give you extra rights, such as moving your information to another provider; we will honour those where they apply.

Not happy with our response? Please tell us first so we can try to fix it. You can also complain to the privacy regulator where you live:

Our services are for adults. We don't knowingly collect information from anyone under 18. If we learn we have, we will delete it.

13. Changes to this policy

We may update this policy when our services or the law change. We will update the "Last updated" date and, for significant changes, post a notice on the website or email people affected.
